Job Title: Administrator
Salary: £18,000.00
Location: Weybridge
Our Client are looking for an Administrator to deliver the highest quality of service in all required duties. The successful individual will be required to maintain an agreed standard of service as well as liaise regularly with client representatives and building users.
Duties & Responsibilities:
* Assist with the control of all financial and commercial aspects of contracts
* Assist in the production of supporting financial information
* Maintain and update both manual and computer records
* Prepare and issue predefined reports, which form part of the contract and customer requirement
* Administer quality management system documentation and ensure compliance
* Liaise closely with the site team, ensuring accurate processing of purchase orders, invoices, time sheets and holiday/sickness records
To undertake general office duties relating to the contract including:
* Answering telephones in a timely manner, within 3 rings.
* All Maximo duties
* Correspondence and filing
* Minutes of meetings
* Preparation of reports and documentation
* Updating of electronic records
* Material ordering and administration
* Receipting of delivery notes
* Subcontractor's administration
* Raising requisition orders and ensuring that purchase orders are updated when changes required
* Contract renewal documentation as part of permissions to work
* Collating timesheets from engineers, chasing and checking quality of data
* Contract set-up (PPM / System support)
* Contract escalation process
* Issuing toolbox talks to site team
* Ordering stationary
* Completing Monthly meter reading spreadsheet
* To participate in general office duties as expected, but not limited to; – faxing, photo copying, filing, compilation of manuals and reception duties as and when required
* To undertake the training of staff as and when required
* To enable full auditable trails with for example but not limited to Invoices, timesheets, material orders
* To be responsible for the commercial support on the contract through to final account.
* Cover reception when required
* Manager assist with the logging of data (holidays, sickness etc.) onto the E-day s/holidays and absence and E-recruitment
* Keep holiday and sickness charts up-to-date, making sure that holiday periods within each shift do not overlap and to ensure that all day work has adequate cover keep all Supervisors/Managers informed of any staffing shortfalls or anomalies on a daily basis by checking the attendance register
* Anything else that is deemed necessary to the successful running of the contract
